    Why were my verification documents declined?

    If your Proof of Address (POA) document has been declined during the account verification process, then you may need to take action to resolve this.

    How to check the reason my document was declined

    You will receive an email that states that the document was declined, however the exact reason and the steps to be taken can be found by logging in to the Secure Client Area, click on ‘My Profile’ then click on ‘Upload Documents’ to see the document status and decline reason.

    Common Decline Reasons:

    Decline Reason:

    Your Proof of Address is in the wrong format. We cannot accept screenshots of any ID document.

    Client Action to Resolve This Issue:

    Please submit your Proof of Address as an original photo of your physical letter or provide us the original PDF statement generated by your service provider so that we may proceed with your application.

    Decline Reason:

    Your Proof of Address appears to be older than 3 months.

    Client Action to Resolve This Issue:

    Please submit your Proof of Address which has been issued within the last 3 months. Unfortunately we cannot accept documents older than 3 months after it has been issued.

    Decline Reason:

    Your document is not an acceptable form of Proof of Address.

    Client Action to Resolve This Issue:

    The proof of address document uploaded is not acceptable. Instead, please upload your utility bill, bank statement, credit card statement, or other government issued residential statements/certificates.

    Also note:

    • We do not accept medical bills, purchase receipts or insurance statements.
    Passport & Photo ID cannot be used for Proof of Address.
    Bank Books are not accepted as a valid Proof of Residence.
    • Identity documents must be uploaded via the Secure Client Area. Baxia does not accept proof of address documents via email. 

    Decline Reason:

    Your Proof of Address appears to be cut off and missing information.

    Client Action to Resolve This Issue:

    Please resubmit your Proof of Address ensuring all document parts are visible and not cut off. All corners of the document must be visible.

    Decline Reason:

    Your document does not show any services.

    Client Action to Resolve This Issue:

    Your Proof of Address must show provision of services (money owed or paid). Please submit a valid Proof of Address document (like a bank statement or utility bill) which shows services provided such as money owed or paid.
